Privacy Policy

What information the public website and Firebase-powered client portal process, why it is used, and how to make a privacy request.

1. Who is responsible for the information

Residential BOQ & Costing Studio (working name), Bengaluru / remote India, is responsible for the information described in this policy. For privacy questions or requests, contact support.flexijar@gmail.com.

2. Information we may process

• Public website: The enquiry form asks for name, company, email, optional phone, requested service and project requirements. When submitted, the website prepares a mailto link to your device’s email application. The site itself does not store or transmit that form submission to a website database.
• Client portal account: Name, email address, optional company name, authentication status and the account identifier provided by Firebase Authentication.
• Portal enquiries: Request title, service selected, requirements text, account identifier, email address, status, timestamps and any update note shown in the portal.
• Project records: Project title, summary, status, client account identifier, email address, timestamps and status notes created by the administrator.
• Technical data: Hosting and security providers may process request metadata, device/browser information, IP address and logs needed to deliver, secure and troubleshoot the site. Firebase may use browser storage needed to maintain sign-in sessions.
• Email correspondence: If you email us, we receive the information you choose to include and the contact details associated with that email.

3. Why we use information

• Create and authenticate client accounts, verify email addresses and support password resets.
• Receive and respond to estimation enquiries and communicate about requested services.
• Maintain project records, assign status updates and show each client their own portal records.
• Protect the site, troubleshoot errors, prevent misuse and maintain business records.
• Respond to lawful requests and comply with applicable legal obligations.

4. Where information is processed

The website is hosted using Cloudflare Pages. Client account authentication and portal records use Firebase Authentication and Cloud Firestore for the separate Interior Estimation project. These providers may process data on systems located in different regions according to their service configuration and terms. We do not intentionally store portal records in the Flexi Jar Firebase project.

5. Sharing

We do not sell personal information. We may share relevant information with service providers needed to host, secure and operate the site, or with a professional/vendor only where necessary for a project and appropriately agreed, or when required by law. The portal is intended to restrict clients to their own enquiries and assigned projects, while the designated administrator can manage portal records. Do not put confidential rate cards or sensitive personal information in enquiry text.

6. Retention

We keep account, enquiry and project information for as long as reasonably needed to provide the service, maintain project history, resolve disputes, protect the site and meet applicable legal or accounting obligations. Retention periods may differ depending on the record. You may request deletion of an account or information, but we may need to retain some records where permitted or required by law or to resolve a dispute. Deleting an account from Firebase Authentication does not necessarily remove all associated records automatically; a request may be needed.

7. Security

We use access controls and Firebase security rules intended to limit access to portal records. No internet transmission or storage system can be guaranteed completely secure. The portal currently does not support private BOQ file uploads/downloads. Please do not submit passwords, payment-card data, government ID numbers or unnecessary sensitive information through the site.

8. Your choices and requests

You may ask us to access, correct or delete information associated with your account, or raise a privacy concern, by emailing support.flexijar@gmail.com from the account email where possible. We may ask for reasonable verification before acting. Your rights and the available response process depend on applicable law.

9. Children

This service is intended for businesses and adults arranging estimation work. It is not designed for children. Please contact us if you believe a child has provided personal information through the site.

10. Changes to this policy

We may update this policy when our data practices or applicable requirements change. We will update the effective date/version above and, where appropriate, ask portal users to acknowledge a revised policy before continuing.
